Fast comment

Open the commenting window, which you can use to assign simple evaluations and Corporate Abstracts, in detail view by clicking on the “Pen” - icon (located on the left hand side next to the images). The window can remain open while you are working and is automatically updated when you open a new patent in detail view. The number of the family member currently being evaluated is displayed in the bottom left corner on the commentary window.

Furthermore you can easily show/hide the commenting window by using the button “Document comment” located on the bottom left of the window in order to assign comments in a fast manner.

Corporate Abstract

The evaluation window is divided into three sections. The top section displays the area “Corporate Abstract” which you can use to enter comments about a patent family.

Use the button “History” to get an overview about the author and the date of a comment. The latest entry is displayed between the patent family and the Corporate Abstract in detail view directly after saving.

This abstract is now displayed with all family members and is instantly searchable via the search surface. This feature enables you to assign individual abstracts and descriptions for an invention on family level.

Evaluations and Comments

In the middle section of the window, the evaluation history for individual documents of a patent family is displayed. When selecting a new patent in the title list, a new member of the patent family or when browsing to the next item in detail view, the commenting window will update automatically.

In the middle section you can see a list with patent numbers, the commenting date, the name and email address of the commentator, as well as a commentary field, an icon and a status field.
The patent number tells you which document was commented on. Date and author are assigned automatically by the system after saving. Commentary and status can be assigned by clicking “Add comment”.

On the right of the “Add comment” button a drop down menu opens where you can assign various status descriptions. By default a status “Memo” is available with a white flag symbol. The status only means that a comment is assigned to a document. The status icons displayed in the picture are possible examples. On network level any kind of status can be set up individually for a company.

Assign a status and a comment and save the entry by clicking the “Save” button. The comment is automatically assigned to the history and the corresponding item is displayed next to the document in the patent family. If only one comment or status is assigned, the icon is displayed next to the patent number in the top section of the detail view window and in the title list it is displayed left of the patent number.

What happens if different status are assigned? The status are weighted. In the example the status “IP involved” is ranked higher than the status “Monitoring needed”. It is always the highest assigned status which is displayed next to the patent number in the top section of the detail view and in the title list.

Searching in comments, status and Corporate Abstract

Once a status, a comment or a Corporate Abstract are saved, the entries are immediately indexed and are therefore searchable. Go to the search mask and pull the search fields “Corporate Abstract” and/or “Comment” into your search mask using drag-and-drop. As the search in the Corporate Abstract is a text search, all features available in the Fulltext search can be used.

For the comment search a search mask is available allowing you to enter the date and the comment as text. Select the status and the author of the comment via the drop-down menu. All fields are connected with AND. If you would like to connect the fields with OR, proceed by opening the comment field multiple times and connect these windows with OR / NOT

Additional Fields

You can also create additional fields. Many of our customers create fields for file numbers, cost centres, departments, etc. These fields can be loaded onto the Knowledge Network and will then be displayed to authorised users. These fields can be shown/hidden by using the options available in the “View” Menu.

You can also search for the contents of these fields by pulling the search field “Additional Fields“ into the search mask using drag-and-drop. Select the search field by checking the boxes and enter the search term in the text field.

As with all customer-specific fields, this field can also be connected with other search fields.
