Create folders and folder structures, move, delete, rename

As a user you have full rights in the area “My Folders”. Here, you can create, move, rename or delete folders. In most cases you do not possess these rights, assigned by your Knowledge Network administrator, in other folders. If you do not possess these rights then folders or menu items are greyed out.

The best way to set up or change the folder tree is to use the administration tree (folder icon without blue arrow) or the menu item Folder/Folder selection/administration.

From version Invention Navigator Portable 2.3.0.0 you can also administrate the tree via the menu Folder in the Assign tree. Please note that this function is only available via the menu item and not via the context menu (right click). Details to follow.

In the administration tree (folder without blue arrow), bring the cursor to the folder in which you would like to e.g. create a folder. The folder is marked with a black frame. Now right click on the folder. You will now see the context menu for this folder. Various options are now available.

Create folders

Select the menu item “Add folder”. A new window opens where you can enter a name. If you check the box “SIP-patent-based folder”, a SIP-patent-based folder will be created, labelled with an “S” on the folder icon. If you do not check this box a family-based folder will be created.

Finalise your action by clicking “OK” and the folder will be created and the window will close. If, however, you click “Apply” then the folder is also created but the window remains open. Now you can simply overwrite the folder name, click “Apply” again and by doing this you can create multiple folders on thef same folder level. If you click “Cancel”, the window will be closed and no folder will be created.

Folders are automatically sorted alphabetically in the tree structure. It is possible to create a SIP-patent-based folder under a family-based folder. It is not possible to create a family-based folder under a SIP-patent based folder.

Rename folders

You can rename a folder including all of its sub-folders via the menu item “Rename folder”. You will have to confirm your action in a new window.

Delete folders

You can delete folders by selecting the folder and clicking the item “Delete folder” in the context menu. You will have to confirm your action in a new window.

Copy folders

Folders can be copied including all of their contents. Select the folder as previously described and click “Copy folder” in the context menu. Move your cursor to the folder in which you would like to copy your selected folder and right click. Now select “Paste folder”

You can also copy entire folder structures (folder including sub-folders) without their contents via this menu item. Proceed as described under “copy folders”.

Edit folder tree and open folders via the menu “Folder”

Regardless, if you are working in the administration tree or in the assignment tree, you can edit the folder structure via the menu item “Folder”. In order to do this, you will have to activate the folder via left mouse click. When working in the administration tree the title list of the folder will be automatically opened, highlighted yellow. Only then the menu “Folder” is activated and can be used. Please note that it will take some time for the title list to load. In order to avoid this you can also work with the context menu (right click).

The procedure with the assignment tree is different. As the right click serves for quickly assigning patents the function of the context menu does not exist here. Therefore it is only possible to open folders or to change folder structures by using the menu “Folder”. Thanks to this new feature you will only have to use the assignment tree during your daily work if no substantial changes have to be performed on the tree.

Other settings

In the menu “Window” you can set up if the administration tree or the assign tree automatically opens when logging in. In addition to this there is also the option to re-load the folder trees.

In the menu “Folder” you can define a folder whose contents are automatically displayed when logging in to the Invention Navigator. Select the folder, whose contents should be automatically displayed. Then select “Show patents on start up” in the administration tree. The box is checked and the folder is displayed green in the folder tree.

If you would only like to see folders in which the currently selected patent families or SIP-patents are displayed then check the box “Hide all folders which do not include the selected result”. This makes the structure much clearer, especially with big and complex folder trees

Mail notifications when new patent families are moved to the folder

In the context menu you will find a menu item “Details”. If you click on it a new window will open. In this window, regardless of your rights, you can set up E-mail notifications. If a new family member is moved to this folder (assigned by a colleague or via automatic search (monitoring profile, alert)) you can get notified via E-mail. Check the box “Send me an E-mail if new patents are assigned every” The grey button behind the text will turn active and the term “week” is automatically displayed. If you click this button, a drop down menu will open in which you can select: day, week, month. Select the frequency of your email notifications by clicking on one of the entries.

You will now get notified according to your selection after one day, one week or one month after your last access on this folder, once new patent families were moved into the folder. You also have the right to enter a description/comment in folders which you can create, rename or delete.

Depending on your rights you can create or edit active folders (Monitoring Profiles, Legal Status Monitoring) in the context menu. For more information go to: Active folders
